VI. EMPLOYEE RESPONSIBILITIES

VI A.  Safety.  Safety is everyone’s responsibility – both on and off the job.  The college makes every effort to comply with the safety and health standards prescribed by law under the “Occupational Safety and Health Act” in order to provide you with a clean, safe, and healthy work environment.

However, a responsibility also rests with you.  You must abide by the safety and health standards required for your job.  In addition, you should notify your supervisor or the college safety officer if you become aware of an unsafe work condition.  In this way, both you and the college can profit by averting possible hazardous and unsafe situations.

In compliance with the Campus Security Act, an annual report of crime on campus is distributed.  This report also includes a roster of services and policies of Security and Safety. Also, in compliance with OSHA, a report of all recorded accidents and injuries related to employment during the calendar year is posted during the month of February outside the Human Resource and Benefits Office.

VI B.  Weapons.  Weapons are prohibited on campus in compliance with General Statute 14-269.2.

VI C.  Disaster Preparedness.  In the event of campus emergency, employees with operational responsibilities are expected to follow the emergency procedures guidelines set forth in the college disaster plan, which will be reviewed with you during your orientation period.

VI D.  Work-related Injury/Illness.  All employees of the college are covered under the provisions of the North Carolina Workers’ Compensation Act, as required by law.  Therefore should you incur any injury or illness on the job you may receive benefits as directed by the North Carolina Industrial Commission.  If you experience an injury or illness resulting from your work you are directed to report such incidents immediately to your supervisor and/or to the college safety officer.  Law requires that a report be filed within five days of knowledge of an incident to ensure full benefits.  Each incident or injury will be investigated, a full report will be taken, and you will be expected to comply with follow-up recommendations.  If emergency or medical attention is required you will be expected to follow standard college procedure for obtaining it.  The college safety officer is your liaison; you are to keep one another posted on your situation.  Details are available with Safety/Security, ext. 7145 or 7146 (radio telephone).

VI E.  Keys, Combinations, Codes.  If you are authorized to hold college keys, combinations, or codes, you assume a responsibility with this privilege.  Carelessly handled, they may fall into unauthorized hands and cause considerable liability and expense.  They should remain with you at all times, never lent, shared nor left unattended.

If you should terminate employment you must return any keys promptly to your supervisor and notify the appropriate persons regarding combinations and codes.  Your final payroll check cannot be released until this has been accomplished.

 VI F.  Automobile Registration.  All faculty, staff and students of Lenoir-Rhyne University are required to register their vehicle(s) with the Security Office.  Faculty, staff and students are also expected to be familiar with and to comply with all established traffic/parking regulations. Failure to pay fines or resolve them through the appeal process will result in the fine being deducted from your payroll check.

VI G.  University Drivers

General

Everyone who drives a college owned or leased vehicle or who transports students or college employees on college business in their personal vehicle or college vehicle, must be on the college approved driver list. All passengers must be traveling on college business. You must have a valid driver's license, have completed the driver history form (See Attached) and have successfully completed a defensive driving course recognized by the college within the past two years. All drivers are subject to a check of their driving record at any time. Appointments may be made to take the defensive driving course by contacting the information desk at x7330.

Drivers operating college vehicles on college business are covered by the college's liability insurance, but those who do not comply with the policy may not be protected under Lenoir-Rhyne University's insurance.

Driving Privately Owned Vehicles

  • It is highly recommended that all faculty and staff complete the defensive driving course if you use your personal vehicle on any college business.
  • Faculty, staff and students using their own vehicles on college business should be aware of the following:
  • " Your insurance coverage is primary and your liability insurance coverage must have a minimum $100,000 / $300,000 liability.
  • " The college liability is secondary and may cover losses in excess of the limits of your policy.
  • " The college will not cover any physical damage loss to your personal vehicle unless you have physical damage coverage with a business use exclusion.
  • " The driver and all passengers must wear seat belts at all times when the vehicle is in motion. A driver's failure to communicate and enforce this policy may result in the driver's loss of indemnification by the college's insurers and from suits arising from injured passengers.
  • " An employee driving his / her own vehicle will be reimbursed at the current mileage rate if he /she is not being remunerated for his / her time (for example, a paid speaking engagement). The employee must complete a Travel Expense Report and present it to the Business Office for payment. The mileage charge will be assessed to the appropriate department.

Driving Rented Vehicles

  • " Rented vehicle cost will be charged to the appropriate department at the full invoice price (which is usually less than the college charge for college owned vehicles).
  • " Based on the advice of the University's insurance carrier, the additional coverage for collision and liability SHOULD NOT BE TAKEN ON RENTAL CONTRACTS WITHIN THE United States. Renting a vehicle outside the United States, does require rental insurance.
  • " Lenoir-Rhyne University insurance information may be required to rent vehicles. Contact the Risk Manager / Benefits Coordinators Office at 328-7018 for insurance information.
  • " The driver and passengers must wear their seat belts when the vehicle is in motion. Applies the same as driving college owned vehicles or privately owned vehicles on college business.

Driving University Owned Vehicles

  • " A limited number of mini-vans and fifteen-passenger vans are available in the college vehicle pool. The use of college-owned vehicles is limited to those engaged in official college business.
  • " Each driver must have completed the defensive driving course.
  • " Each passenger in a college vehicle must be traveling on college business.
  • " The driver and all passengers must wear seat belts at all times when the vehicle is in motion.

Request for Use of University Vehicle

A "Request For Use Of University Vehicle" form (See Attached), must be completed prior to using a college vehicle which may be secured from the maintenance office. The completed REQUEST is to be filed with the maintenance office. The cost center budget for the faculty or staff member, using either a college vehicle or a private vehicle for college business, will be charged for the vehicle at the prevailing rate.

Travel by Convoy Discouraged

When a number of cars are traveling to one destination, it is strongly recommended that cars do not travel in a convoy. Predetermined meeting places are recommended for long trips.

Revocation of University Driving Priveleges

Any college employee or student who has obtained the following number of driver's license points or driving arrest will be prohibited from driving on college business:

  • Nine driver's license points
  • Alcohol related arrest / limited driving privilege
  • Careless and Reckless arrest / conviction

Any college employee who has lost their privilege to drive on college business may request in writing to the Director of Security an appeal which should contain the date of the appeal and the basis for the appeal. The college President or his/her designee will be notified of the appeal and will appoint a committee to review the appeal and forward their recommendations to him for resolution

IV H.  Smoking.  In compliance with Catawba County regulation, the buildings on the campus of Lenoir-Rhyne are smoke-free.  Smoking is permitted only outdoors.

VI-I.  Drugs and Alcohol.  In compliance with the Drug-free Workplace Act of 1988, employees are hereby notified that employment at Lenoir-Rhyne University is conditional upon abiding by the conditions of these statements and prohibitions.  The college takes seriously the possession, use, or sale of any controlled substance as well as violations of the laws and rules regarding alcoholic beverages.  The college campus is not a sanctuary that relieves faculty and staff of their responsibilities as citizens to abide by local, state and federal laws, nor college regulations, policies, and procedures.  Details of the policy are contained in the pamphlet “Lenoir-Rhyne University Drug and Alcohol Policy for Faculty and Staff”, which you receive during your orientation period

VI J.  Compliance with Copyright Law.  Employees are reminded that it is illegal to photocopy and distribute copyrighted materials without permission of the author or publisher.  If you are unsure whether your need for photocopies is within the guidelines for ‘fair use’ of copyrighted materials for classroom use by educators, inquire with the Director of Learning Resources. 

VI K.  Use of Telephone Services.  The main number for the college is 328-1741.  The switchboard is staffed during regular office hours to handle in-coming calls to the main number.  Off-hour and week-end emergency calls are handled through the Security Office.

The college owns its own telephone system that includes voice mail.  Calls from off-campus should be placed by direct dialing.  Inform callers of your direct number so traffic to the main number is not tied up.

Telephone statements of local and cost calls are sent monthly to each user.  Excess personal calls are discouraged.  When personal calls are necessary, reimbursement to the college should be made to the Business Office as soon as possible.

A campus telephone directory is available on the college website www.lrc.edu , password-accessible to faculty and staff via the internal web.  The Information Technology department updates the directory and inquires of you any changes on a regular basis.  Name dialing is available by calling extension 7696 (328-7696 off-campus).

For assistance with telephone equipment, for acquiring a long-distance authorization code or for other telephone services, please dial extension 7350.

VI L.  Solicitation.  Solicitation of employees or students on college premises by or on behalf of any business, club, society, or organization is prohibited.  This policy applies to employees, students, and outsiders, and it covers solicitation in any form whether for membership, payment of money, subscription, sales, or donations.

An exception to this policy may be granted by the Vice President and Dean of Student Affairs and approved by the Controller, including for example, sales by student organizations.

VI M.  Appliances in Offices.  The use of an electrical appliance such as a fan, air conditioner, coffee dispenser, or similar equipment must be cleared with the maintenance department.
